Mounting an exhibit? Orchestrating a concert? Planning a play? Showing a film? The monthly AT PENN calendar is published as a black-and-white "sideways" pullout within an issue of Almanac, as a reprint on colorful stock that people can post on their walls--and also is available here on our website (click the Calendar menu option above for the latest AT PENN calendar). There is also an Update in the weekly issues that gives priority to changes concerning events already announced in the monthly calendar, and lists new submissions only as space permits.
Criteria for Submissions: Include a name and phone number of a contact person if it is not the same as the e-mail return address. Please provide the copy with special attention to the correct capitalization of compound proper names, titles of books or programs, and scientific or foreign terms.
Information need not be rewritten for us, as long as it is typed or printed legibly. We'll be glad to take your information from a flyer, poster or brochure--or, you could send us a draft of the copy you are sending to the printer. If you send a semester's schedule or a whole year's, please remember to notify us of any cancellations or changes as the year progresses.
A notice in each monthly calendar tells readers that unless otherwise indicated, all events are open to the general public. If your event is not open to this wider audience, indicate "campus only" or "PennCard required".
Please provide the following information when submitting an event:
- Date
- Type of event (Exhibit, Meeting, Talk, etc.)
- Topic (name of show, speech title)
- Names of speakers, performers; their titles or affiliations
- Audience (campus only, members only, etc.)

- Admission charge, if any
- Sponsor(s)
- Phone Number for more information

We accept information in any of the following ways: Fax (215) 898-9137, e-mail (almanac@upenn.edu), or through U.S. mail, intramural mail or via messenger. We are on the second floor of Sansom Place East/Nichols House, Suite 211, 3600 Chestnut Street/6106. Bringing your PennCard with you simplifies access to our offices. However, if no one is in our office, you may leave the copy with the receptionist in the lobby on the first floor.
Submitting Media (i.e. images, video and audio clips): We encourage event planners to provide photos or illustrations as well as video or audio clips, or a CD from which a clip can be extracted, whenever appropriate. We will return artwork, and audio/video clips if you so indicate. Please give caption information in writing and the name of any photographer or artist who should be credited. Images can be sent as an attachment to an e-mail message or we can scan photos including photos from slides. Weekly Update Deadlines: Monday for the following week's issue on Tuesday. For example, the deadline for the Update for the September 22, 2009 issue is September 14.
Reminder: The weekly update normally lists events happening Wednesday through Tuesday. For example, the Update in the September 22, 2009 issue will have events spanning September 23-29. When there is no issue of Almanac, the preceding week's Update will encompass a two-week period. Issues with Updates spanning two-weeks this year are: November 24, December 22, March 2 and May 11. Events are published depending on the availability of space.
There is no charge for listings in either the monthly AT PENN calendar or weekly Update. Thank you for your continued cooperation.
