Knowledge Link

Knowledge Link is Penn's learning management system (LMS) that provides access to classroom and on-line training for University and Penn Medicine faculty, staff and student employees. It is the primary source for administrative, compliance and certification training, along with professional development courses. Knowledge Link training is integrated with the University's compliance training survey, Penn Profiler.

QUESTION: I can't log into Knowledge Link. Is my PennKey working?

ANSWER: You must have a PennKey to log into Knowledge Link. You can test your PennKey and reset your password if necessary at the PennKey Support Site.

QUESTION: I can log into Knowledge Link, but can't see the training I need to complete. top of page

In order for training classes to appear on your Knowledge Link screen, it must be assigned to you as either required or optional. Many required courses are assigned based on information gathered by the Penn Profiler survey and should automatically appear on your Required training screen. Other courses are available to certain departments, schools or centers on the Optional screen.

If you are searching for a particular class and cannot find it, please contact the appropriate University training department or course owner to see if it is assigned to you. For general questions about University training, contact kl_help@lists.upenn.edu. QUESTION: What are the technical requirements for Knowledge Link? top of page

Knowledge Link is supported with the following computing platforms:

  • Windows XP using Internet Explorer 5.5 (or higher), or Firefox 3.x web browser
  • Macintosh OS X 10.5 using a Safari 3.x/4.x or Firefox 3.x web browser
  • Flash Player 7 or greater (download).
  • Recommended Screen Resolution: 1024 x 768
 
QUESTION: What is the difference between Required and Optional Training? top of page

Training is assigned as "required" to an individual or unit based on various regulatory, compliance and administrative needs of the University. Required training may need to be completed just once, or may have a recurring periodicity of a certain number of months or years, depending on regulations. Training will appear on your "Required" training screen immediately once it is assigned to you. Once you have completed the required class(es), the they will be listed as complete in your "Training Record". For courses with periodicity, a link to the class will reappear on your "Required" screen one month before the next due date. Depending on the course settings, you may recieve a reminder email indicating you need to enroll in the course. It is important that you complete required training in a timely fashion. Supervisors can run reports on training compliance, and access to some systems and services may be denied until training is complete.

Many training classes are also assigned as "optional" for you to enroll in at your own discretion. You can browse for available training on your "Optional" screen in Knowledge Link.

Once you have located your class on your "Required" or "Optional" training menu, click the "enroll/start". For classroom based training, you will be presented with the dates and times of the training class(es) that are available to choose from. Click "enroll" to make your choice. For on-line training, click "enroll" to launch the on-line module. After you enroll, you will receive a confirmation email from Knowledge Link.  
QUESTION: What email notification will I receive about my classes? top of page

When you sign up (enroll) in a classroom or on-line training class through Knowledge Link, you will receive a confirmation email indicating your status (enroll or wait listed, if applicable.) For classroom based training, you may also recieve additional reminders about the upcoming class session(s), at the discretion of the course instructor.

Knowledge Link can also send out reminder notices about upcoming or past-due required training assignments that you may or may not have signed up for. These notifications are activated at the discretion of the course owner and may not be recieved for all required classes. It's a good idea to check your Knowledge Link account periodically to see if you any outstanding training obligations.

It is important to know that if your email address is not listed in the online Penn Directory, you will NOT receive email notifications from Knowledge Link. To add your Penn email address to the directory, go to http://www.upenn.edu/directories/ and click on “Update Directory Listings". You have the option to make your email visible only to the Penn Community if you wish.

 
QUESTION: How will I know if I've successfully completed my training? top of page

WEB-BASED TRAINING: An entry is created on your Enrolled screen and your Training Record when you first enroll or launch a web-based course. Until you reach the final screen of the training to complete the course, it will be listed as "incomplete". You can "save and exit" the training and resume it later. Once you complete the course, it will disappear from your "enrolled" screen, and appear as "complete" in your Training Record. A printable Training Certificate may be made available in your Training Record. If you have completed an on-line module but it is still listed as incomplete in your training record, read this.

CLASSROOM TRAINING: When you sign up for an Instructor-Led (classroom) training, an entry is created on your Enrolled screen and your Training Record. Once you have attended the training, the instructor will give you credit for the course, and it will appear as "complete" in your Training Record. A printable Training Certificate may be made available in your Training Record. You may also be notified by email when credit is given.

When you complete an on-line or Instructor-Led (classroom) training, you will see the course listed as "complete" in your Knowledge Link Training Record screen. If the course owner has made a certificate available, you will see a small icon to the right of the complete course listing. Click the icon to view your Training Certificate. Click Cntrl-P (Windows) or Command-P (Macintosh) to print your Training Certificate.

NOTE: Not all courses in Knowledge Link are associated with a certificate! If you do not see a certificate but think there should be one, please contact the appropriate course owner.

QUESTION: My on-line training module won't launch. What's the problem? top of page
An active Pop-up Blocker is the most common thing that prevents on-line training from displaying. Check your browser settings to be sure that pop-up windows are allowed: http://www.upenn.edu/computing/help/doc/browser/popup.html

You must also have an up-to-date Flash Player 7 or greater (version 10 is recommended; download).

The most common reasons that Flash content fails to display are:

  • Pop-up blockers
  • 3rd Party (non-Adobe) 'Flash Player' Cleaners
  • some internet utilities perform functions similar to a firewall and may restrict viewing of ActiveX controls, and in some cases specifically blocking Flash content in Internet Explorer. You may wish to check with your LSP to ensure that your firewall or utility settings are set to allow ActiveX controls and Flash (SWF) content.

    QUESTION: When I launch my course, I get a blank or frozen screen. What's wrong? top of page

    You must have an up-to-date Flash Player 7 or greater (download) to view on-line training modules, otherwise you may see a white (blank) screen when you launch a course. Knowledge Link supports the following platforms:

    • Windows XP using Internet Explorer 5.5 (or higher), or Firefox 3.x web browser
    • Macintosh OS X 10.5 using a Safari 3.x/4.x or Firefox 3.x web browser
    • Recommended Screen Resolution: 1024 x 76

    Note: opening multiple browser tabs or windows can dramatically increase the overall memory required to run the browser, and can contribute to crashing and freezing Flash Player. In some cases, reducing the number of windows or tabs can eliminate the crash.

     
    QUESTION: Can I begin web-based training and return to it later? top of page
    If you launch an on-line training class, you can click "Save and Exit" to record your progress and return to the course at a later time. If you do not see a "Save and Exit" button, the course has not been set up to allow bookmarking. In this case, it is recommended that you complete the course in a single sitting.  
    QUESTION: I completed my on-line (web-based) training but it is still listed as "incomplete" in my training record. What to do? top of page

    First, be sure you are using a supported computer platform and browser for Knowledge Link, with an up-to-date version of Flash Player.

    On-line training modules can be require you to view all the slides in a Flash presentation and/or recieve a passing score on quiz or learning activity in order to receive credit. It is important that you progress completely through the presentation, as instructed by the in-course guidance. Once you reach the final screen in the presentation, close the window of the training module to return to Knowledge Link. This action submits your information back to Knowledge Link, and should update your record to register your status as "complete" for the course.

    Occasionally, the connection between an on-line training course and the Knowledge Link Learning Management System (LMS) can be lost due to a network disruption or a bottleneck in system resources. If you completed a module but Knowledge Link has not recorded that fact correctly, please contact the training department or course owner and notify them of the problem.

    TIP: Many on-line courses present you with a "Save and Exit" button which allows you to save your progress in the course and resume it later. In longer courses, it is a good idea to save and resume after you have spent some time in the course. That way, if a disruption occurs, you will be able to return to the course at the last "saved" point.

    For your class information, go to your “enrolled” screen. Find the class listing, and click the link that says “Class Schedule...” You will see the time and location of the class meetings that you're enrolled in.  
    QUESTION: How can I switch to a different class section? top of page
    If you have signed up for a class but need to change to a different scheduled session of a course, first drop the section you're enrolled in by clicking the "DROP" button on your "Enrolled" training screen. Then, locate the course on either your "Required" training screen (for a class that is assigned to you as required and currently due), or your "Optional" screen. Click the "Enroll" button to see the available class sections, and click the second "Enroll" button on that screen to sign up for a different section.
