Upgrading your Queries from v.5.1.4
Overview
These instructions are for people who create and/or edit their own queries,
using the Business Objects desktop client. If you use only InfoView to
refresh and view documents, you do not need to upgrade anything.
- Desktop client users: the upgrade from version 5 to XI requires that
you upgrade all your personal queries that you plan to continue to
use.
- Data Administration will upgrade all the Corporate Documents.
- If you have copies of any Corporate Documents stored locally on you
own computer, and they are just copies (with no modifications that
you need to preserve), then you do not need to upgrade those documents.
You
can simply get rid of your local copies, and retrieve the upgraded
queries from the Corporate Documents stored on the new repository,
when
you are ready to use the new version.
- Once you have upgraded
a query, it can only be opened/edited by someone using the new
version. In other words, people using the XI desktop client will be
able to
open version 5 queries; people using version 5 will NOT be able to
open version
XI
queries. For this reason, we are strongly advising offices and departments
that frequently share queries to upgrade together, as a group.
NOTE: it is still possible for someone who has upgraded to
share a query with someone who has not, by putting
the document out to your personal directory on the InfoView server,
and from there send it to the other user. The
recipient will be able to view, but not edit, the upgraded document using
the web
interface.
Install the new version
Before you can upgrade your queries, you must install DeskI. See the
installation instructions for installing Business
Objects Enterprise XIv2 Desktop Intelligence on
your computer.
We recommend that you keep the old version 5 installed on your computer,
for a short time, until you have upgraded your queries. However, please
note that version 5 is no longer a supported version. Also,
the version 5 universes will soon become obsolete. You are strongly
encouraged to migrate all your queries and remove the old software as
soon as it
is feasible for you to do so.
Steps to upgrading a document
- If you plan to compare results, you may want to first run your
query in version 5 and save it.
- Launch DeskI and log in.
- If the New Report wizard opens, close it.
- From the File Menu, choose Open. If necessary, navigate to the folder
containing the query you wish to upgrade. (the old version stored
documents in C:\Program Files\Business Objects\BusinessObjects 5\User
Docs)
- Select the query, and click "Open".
- You will
see a message warning you
that the document is from an earlier version, and that saving it
will update it to the current version. Click "OK".
- Refresh your query, and check the results. Note that if you
have User Defined Objects in any of your queries, you must move
the UDO files manually, in a separate step.
- From the File Menu, choose "Save As", navigate to where
you will store your new queries, and save the query. If you want
to validate your results, DO NOT save it in
the same
place as the old queries! If you save to the old query folder,
you will overwrite the old one, and you will be unable to compare
the results.
Save the upgraded queries to a different folder using "Save
as".
Click
on the
"User
Documents" icon in the left panel to
find the
default
folder
that the
new version will use
to store
your
queries. (the new version
stores documents by default in C:\Documents and Settings\<USER_NAME>\My
Documents\My Business Objects documents\user docs\)
Report comparison
Once you have upgraded a query, you may want to compare the results
to the same query as it ran in the old version. The most reliable
way to do this on a query-by-query basis, by simply opening both
and looking at the results. Note that in order to do this, you must
have the old version of the software,
and
the
old
version
queries, still residing on your computer.
In general, your upgraded query should function in exactly the same
way it did in the previous version. The one exception involves queries
that use User Defined Objects, which you will need to move manually
in order for them to work with the new queries.

Dealing with User Defined Objects DeskI does not bring over the User Defined Objects from your old version
of the universe to the new one. If you use User Defined Objects (UDOs)
you can manually migrate them by copying existing .udo files from the
source
folder:
C:\Program Files\Business Objects\BusinessObjets 5.0\Universe
to the Business Objects Enterprise XI Release 2 universe folder:
C:\Documents and Settings\<USER_NAME>\Application Data\Business
Objects\Business Objects 11.5\Universes\
(where <USER_NAME> is your user name on your computer)
Copy
all the *.udo files you plan to continue to use, before you test your
upgraded queries.
Upgrade help: additional
tips and known issues
If your version 5 report had alerters, you may need to re-create
those alerters in the upgraded report.
If you select a document, but instead of opening, it returns an error
message: You are not authorized to use this document. (FRM0008) try
one of the following solutions:
1) Is this a Corporate Document? In which case, do not try to open the
local copy, but instead import a fresh copy from the repository:
Go to
the File menu and choose "Import from Repository." There
are two ways to look at things here -- by folder or by category (expand "public
folders" if you are viewing by folder, and expand "corporate
categories" if you are viewing by category). Navigate to the folder
or category you want and look for your document there. Or click on the "Find" function,
and search for the document you want by entering all or part of its name
in the search window. Click on the document you want, and click on the "Retrieve" button.
By default, Deski will open the document as soon as it has been retrieved.
You can now refresh it, and save a local copy of the corporate document
on your computer.
Or:
2) If this is a document you created yourself on your local computer
(or a corporate document that you significantly modified), then, if possible,
use the old version -- version 5.1.4 -- to open it. Go to File->Save
As... and before you save it, click the box next to "Save for all
users" in
the lower left corner of the screen. Then click on Save, and close it.
You should now be able to open it using Deski.
If you open a document and then try to run it, but instead of returning
data it returns an error message: [...] not found. There is no
connection for this connection id. Try this: Go to the Data
Menu and select View Data. On the Definition Tab, select the elipses
(...) next to the universe name:

Choose the universe you need from the list. Click OK. Then refresh the
query.
If you still get the same error, contact Data Administration and
please specify which universe or universes this query uses.
