BRIM Data Collection

The BRIM Data Collection is a subset of the University Data Warehouse containing data from BRIM, the Billing and Receivables Information Management system used by the Office of Research Services. BRIM is used to track award payments due and received for sponsored project funds where the sponsors either send payments as they are billed for project expenses, or send payments based on a schedule. BRIM does not track sponsored project funds where payment is handled via letters of credit.

The General Ledger in BEN Financials is the ultimate source of most of the BRIM data for funds, cash receipts, and actual amounts to be used as the basis of expense-based invoices. Other data is entered into BRIM by ORS staff, or created by BRIM.

The BRIM Data Collection was created to enable users to:

  • create ad hoc reports of BRIM data
  • see BRIM records as they are now, or as they were at the end of past accounting periods
  • reconcile BRIM data with the General Ledger data in BEN Financials

Refresh Schedule
Includes the collection's refresh schedule, source of the collection's data, and the time span covered.

Data Diagram
The diagram illustrates the architecture the BRIM Business Objects Universe, and identifies joins. While viewing the diagram, you can also display its table documentation. If you need to print the diagram, print it in landscape orientation.

Tables and Data Elements
To ensure you have the most recent version, use the documentation online as opposed to printing it.

Data Security
Lists policies and guidelines that are specific to this data collection, questions you should ask before you fulfill a request for BRIM data, and how to safeguard data stored on your personal computer. Also includes a link to Penn's Information and Security Privacy page.
