PennWorks and the Salary Management Data Collection
PennWorks, a secure web-based user interface to the HR/payroll system, went live in November 2009. At that time, the existing Salary Management collection and Business Objects RSALMGT universe were augmented to include data from PennWorks. Individuals with access to the Salary Management collection are automatically able to access this additional information.
PennWorks Additions to the Warehouse
PennWorks acts as the front-end user interface to the Payroll system, and feeds data used for payroll processing to the mainframe. In addition, data maintained in PennWorks, including biographical information, roles and distributions, and faculty compensation, are loaded to the Warehouse on a nightly basis, and stored in the following tables in the DWCOMP schema:
Changes to the RSALMGT Universe
The tables above have been added to the existing Business Objects RSALMGT universe, in folders at the beginning of the list of universe classes. In addition, the following enhancements have been made to the existing universe. Note that these changes should have no effect on existing queries and reports, but may ease navigation of the universe going forward:
- All previously existing classes (e.g., Employee, Employee General, Employee Payment, PAR Earnings, etc) remain available for reporting on data from the Payroll and Salary Management systems but will be listed slightly further down in the alphabetical list of universe classes following the PennWorks "Comp" classes.
- New lookup tables in the data collection provide descriptions for the numerous PennWorks and Payroll codes. Objects for descriptions have been added throughout the universe, directly next to the objects for the corresponding codes. List of values also display code descriptions wherever possible. A new class (Standalone Reference Tables) contains subclasses for the reference tables in their entirety.
- The Job Class, Job Class General and Mail Code classes have been relocated with the classes for the tables to which they are related:
- Job Class can be found as a subclass of Employee Job
- Job Class General and Mail Code are now subclasses of Employee General
- Within the Comp Distribution, Employee Distribution, Employee Encumbrance, Employee Payment, and PAR Earnings classes, the accounting segments are listed in the order in which they appear in Penn's chart of accounts. For the rest of the universe, object sorting remains predominantly alphabetical.
PennWorks Repository Reports
A number of Business Objects reports have been created and are available (Payroll/Salary Management folder, or PennWorks category) in the repository to facilitate reporting on PennWorks compensation, roles, and distributions:
- PennWorks Administrative Roles - Description required: Displays individuals having an active role associated with job class 140010 (formerly known as A-1 Academician) for which a PennWorks administrative role has not yet been associated.
- PennWorks Change Log: Ppresents information from the PennWorks change log data available in the Payroll Change Log (change_log) universe, and can be used to monitor updates made to employee records in the PennWorks system. Access to the Change Log data in the Warehouse is required to run this report.
- PennWorks Compensation - Academic Base Review: Can be used to identify individuals for whom Academic Base compensation may need to be entered or updated in PennWorks.
- PennWorks Compensation - Administrative Stipend and Role Review:
Can be used to identify individuals for whom Administrative Stipends or roles may need to be entered in PennWorks.
- PennWorks Compensation and Roles: Displays whatever role and compensation data has been entered in PennWorks for the report timeframe, for the entire population eligible for compensation data maintenance, in the Home ORG range.
- PennWorks Compensation - Salary Distributions and Payments Review:
Consists of three tabs which can be used to compare PennWorks Faculty compensation salaries to distributions and actual payments.
- PennWorks - Distributions Ending Review: Consists of two tabs which can be used to review PennWorks and Payroll distributions ending during a given date range.
- PennWorks - Projected Roles and Distributions: Can aid in monitoring PennWorks roles or distributions whose state needs to be changed to "Final."
- PennWorks - Role Salary and Distribution Review: Can be used to compare PennWorks role annual salaries to distribution totals, including external distributions.
Cautions
Keep in mind the following new cautions for using the Salary Management collection following the addition of PennWorks data:
- COMP_PERSON contains the latest available biographic/demographic data for the employees whose records are managed in PennWorks, which came into use on November 1, 2009. For individuals with Payroll records as of that date, matching biographic/demographic information appears in both DWCOMP.COMP_PERSON and DWADMIN.EMPLOYEE. (PennWorks data is fed to the mainframe Payroll system for Payroll processing. After that processing, the biographic/demographic data is fed from the Payroll system to the EMPLOYEE table.) Note: the EMPLOYEE table includes employees who had Payroll records on or after July 1, 1996. For employees with Payroll records prior to October 2009, biographic/demographic data is available in the EMPLOYEE table only. A new view, DWADMIN.COMP_PERSON_EMPLOYEE_V, provides a union between COMP_PERSON and EMPLOYEE, allowing users to retrieve both PennWorks and historical Payroll employee biographical data in one query.
- PennWorks allows users to indicate a state for a distribution, role, salary compensation record or person record as "Final", "Projected", or "Disabled." Records with a "Projected" state can act as placeholders for planning purposes, and will be managed solely within PennWorks. The "Final" state indicates the record is ready to be processed by PennWorks and, when appropriate, updated in Payroll. "Disabled" records will no longer be visible in PennWorks, but are retained in the PennWorks (DWCOMP) tables in the Warehouse for historical purposes. Users may select to delete records from PennWorks; these rows are retained in in the Data Warehouse for historical purposes with a state of 'X'.
- In addition to the standard Salary Management collection security by Home ORG, users with access to a current Joint organization for an employee may see all data pertaining to that employee.
