General Services Info

1. What is "Zimbra"?

Zimbra Collaboration Suite (ZCS) is a messaging and collaboration system. It is a modern and advanced replacement for the decades-old "Classic" Pobox email server, integrating email, contacts, shared calendars and online collaborative document authoring, while providing greatly improved webmail and mobile device support. The Zimbra software is made available to you using the familiar domain names that you are accustomed to using, like mail.med.upenn.edu, gse.upenn.edu, isc.upenn.edu and so on.

2. How do I login to Zimbra?

Logging in to Zimbra means accessing the web interface at http://zimbra.upenn.edu, where you can access all the tools and settings of your ZCS account. You login using your PennKey, just as you did with Classic Pobox webmail. If you use an IMAP or POP client to read and send email, you'll still use the login information that you used with Classic Pobox (with a couple of exceptions as mentioned below in "Are there special cases for login?").

3. Are there special cases for login?

•Currently, there are no desktop calendar clients that are compatible with Zimbra and that also use Kerberos authentication. If you want to use Zimbra Calendar with a desktop client such as Outlook, Apple's iCal, Sunbird or Lightning, you must use a non-PennKey "local" password (just as with Classic Pobox accounts of the older Basic Security type). This local password may be used only for calendar access by your desktop client. Using it to access other Zimbra services will result in PennKey access to your account being disabled. The local password will be set using the Classic Pobox account management tool.

•We have seen Apple's Mail client have difficulty connecting to our test Zimbra server; this may be caused by Mail requiring that it be configured to access the server using the actual hostname, and not by a domain alias. For instance, it appears that Mail will connect successfully to pobox.upenn.edu (the true hostname of our mail server) but will fail if you try to connect to mail.med.upenn.edu (a domain alias to the same mail server). Obviously this will not do for users of mail.med.upenn.edu, gse.upenn.edu, isc.upenn.edu, ben.dev.upenn.edu et al. More details and recommendations will follow pending further testing.

5. What Clients are supported by Zimbra?

Email clients that are supported for Classic Pobox are supported for Zimbra. Supported Calendar clients include xxxxxxxxxxxxxxxxxxx. The Zimbra web interface is supported by all modern web browsers, and includes a simpler, less-advanced interface option to be used on older browsers, as well as a "mobile" interface that is highly simplified for very small displays, such as the iPhone.

6. Is there a Zimbra-specific desktop client?

Yes, but at this time it is not a stable and capable enough product for Penn to support. We strongly recommend you avoid it for now.

7. Does Zimbra support ‘arbitrary’ domains such as @gse.upenn.edu?

Yes. You can continue to use your school or center's email domain that you used on Classic Pobox.

8. How can I get data restored?

Request restores from backup just as with pobox: by filing a ticket with Prodesk. Currently, our process is to restore your older data into a second temporary account. You can then connect to both the old and current accounts to copy over the data you want. The fee for a restore remains a flat $50.

9. How is anti-virus/anti-spam handled? Is it different than on Classic Pobox?

10. What is my Zimbra Mailbox Quota?

The default storage quota for users is 250 Megabytes, the same as on Classic Pobox.

11. How do I check my quota?

Your quota is displayed in the upper-left corner of the Zimbra Webmail page. A colored bar appears below the Zimbra logo and your name. The bar graphically indicates your usage and free space left, and if you hover the mouse cursor over the bar for a few seconds, text will pop up that displays the specific values of your data usage as well as a percentage-full value.

12. How do quota increases work under Zimbra?

The same way as with Classic Pobox. You can purchase additional storage in blocks of 250 MB up to 1000MB. There is a one-time fee to purchase more than 1GB of storage (in addition to the cost of the storage itself). See this page for more details.

Email

13. How is Zimbra Webmail different from the Classic Pobox webmail?

It's much more capable! Your mailboxes, message list and message content are all displayed at the same time. Searching is easier and more configurable. You can right-click (Mac single-button mice: Control-click) on most items to see popup menus with many useful actions. And in addition to webmail, notice the "tabs" for the integrated Address Book, Calendar, Task list, collaborative Document creation tool and the Briefcase, a storage area for files. And all these types of data can be shared with other users. Zimbra is designed to work like Microsoft Exchange, as a complete groupware package. 14. Do I need to change settings in my existing email client to use Zimbra?

 

15. How do I forward mail from a Zimbra account to another email account?

Look in the Preferences for the tab "Mail" and you'll find the place to enter an address to forward to. If you intend to read mail at the forwarding address and you won't be logging in to your Zimbra account, be sure to check the box "Don't keep a local copy of messages", so your account won't go over its quota.
