Configuring Your Email Client for the Penn Online Directory

Notes: Penn's LDAP server provides the same information presented in the Public View of the Online Directory. However, if you wish to see the richer set of data available in the Penn View, some email client configuration changes are required to facilitate a PennKey-authenticated query of the server. Please be aware, however, that limitations in email client features may make it impossible to display all elements of the richer set of data in the Penn View of the Online Directory, or even the more limited Public View.

All supported email clients allow you to search the Penn Online Directory by last, first, or any part of a name. Some clients, such as Outlook 2007, allow searching by email address.

Follow the instructions below to configure your email client for the Penn Online Directory.

Thunderbird 6.0.x (Windows/Mac OS)
Apple Mail 3.6 (Mac OS 10.5.8)
Apple Mail 4.5 (Mac OS 10.6.x)
Apple Mail 5.0 (Mac OS 10.7.x)
Outlook 2007 (Windows)
Outlook 2011 (Mac OS)

Thunderbird 6.0.x (Windows/Mac OS)

  1. Launch Thunderbird.
  2. Click the Address Book icon located on the menu bar. The Address Book window displays.
  3. From the File menu, select New, then select LDAP Directory... from the dropdown menu. The Directory Server Properties window displays.
  4. In the Directory Server Properties window, make sure the General tab is selected.
  5. In the General window, do the following:
    1. Click the Use secure connection (SSL) checkbox to activate it.
    2. In the Name: field, type Penn Online Directory
    3. In the Hostname: field, type directory.upenn.edu
    4. In the Base DN: field, type the following, making sure that the "P" in People is capitalized:
      ou=People,dc=upenn,dc=edu
    5. In the Port Number: field, type 636
    6. In the Bind DN: field, type the following, where username is your actual PennKey name:
      uid=username,ou=PennPeople,dc=upenn,dc=edu
  6. Quit Address Book.
  7. From the Tools menu, select Account Settings.
  8. In the left panel under the server name (e.g. pobox.upenn.edu, dolphin.upenn.edu, mail.med.upenn.edu), click Composition & Addressing.
  9. Select the Use a different LDAP server: radio button, choose Penn Online Directory from the dropdown list, click the OK button to close the window and save your settings.

Apple Mail 3.6 (Mac OS 10.5.8)

  1. Launch Apple's Address Book application.
  2. From the Address Book menu, choose Preferences... The General window displays.
  3. Click the LDAP icon. The LDAP window displays.
  4. Click the plus (+) button in the lower left corner (or highlight the pre-existing Penn Directory entry and click the Edit button). Use the following information to enter for LDAP configuration:
    • In the Name: field, type Penn Online Directory
    • In the Server: field, type directory.upenn.edu
    • In the Search Base: field, type the following, ensuring the "P" in People is capitalized:
      ou=People, dc=upenn, dc=edu
    • From the Auth Type: dropdown list, select Simple.
    • Ensure that the Use SSL checkbox is selected. Observe as the Port: field value changes automatically to 636
    • Ensure that the Allow self-signed certificates checkbox is selected.
    • From the Scope dropdown list, choose Subtree:.
    • In the Username field, where username is your actual PennKey username, type the following ensuring that both "Ps" in "PennPeople" are capitalized:
      uid=username, ou=PennPeople, dc=upenn, dc=edu
    • In the Password: field, enter your PennKey password.
  5. Click the Save button. The LDAP configuration options are saved under the Penn Online Directory profile.
  6. In the LDAP window, ensure the Active checkbox is selected for the Penn Online Directory entry.
  7. Quit the Address Book application.
  8. Launch Apple Mail.
  9. From the Mail menu, select Preferences... .
  10. Mail may ask if it can use the directory.upenn.edu item in your keychain. If so, click the Always Allow button.
  11. Click the Composing icon.
  12. Ensure the Automatically complete addresses checkbox is selected, then click the Configure LDAP... button.
  13. Ensure the Active checkbox is selected for the Penn Online Directory.
  14. Click the Done button.
  15. Quit Mail.

Apple Mail 4.5 (Mac OS 10.6.x)

  1. Launch Apple's Address Book application.
  2. From the Address Book menu, choose Preferences... The General window displays.
  3. Click the Accounts icon. The Accounts window displays.
  4. Click the plus (+) button in the lower left corner. The Add Account window displays.
  5. From the Account type: dropdown list, choose LDAP.
  6. In the Server address: field, type directory.upenn.edu
  7. Click the Server Options arrow.
  8. Select the Use SSL checkbox. Observe as the Port: field value changes automatically to 636
  9. Click the Continue button. The Account Settings window displays.
  10. In the Description: field, type Penn Online Directory
  11. In the Search Base: field, type the following, ensuring the "P" in People is capitalized:
    ou=People, dc=upenn, dc=edu
  12. From the Scope dropdown list, choose Subtree.
  13. From the Authentication: dropdown list, select Simple.
  14. In the User Name: field, where username is your actual PennKey username, type the following ensuring that both "Ps" in "PennPeople" are capitalized:
    uid=username, ou=PennPeople, dc=upenn, dc=edu
  15. In the Password: field, enter your PennKey password.
  16. Click the Create button. The Accounts window displays.
  17. Quit the Address Book application.
  18. Launch Apple Mail.
  19. From the Mail menu, select Preferences... .
  20. Click the Composing icon.
  21. Ensure the Automatically complete addresses checkbox is selected, then click the Configure LDAP... button.
  22. Mail may ask if it can use the directory.upenn.edu item in your keychain. If so, click the Always Allow button.
  23. Ensure the Active checkbox is selected for the Penn Online Directory.
  24. Click the Done button.
  25. Quit Mail.

Apple Mail 5.0 (Mac OS 10.7.x)

  1. Launch Apple's Address Book application.
  2. From the Address Book menu, choose Preferences... The General window displays.
  3. Click the Accounts icon. The Accounts window displays.
  4. Click the plus (+) button in the lower left corner. The Add Account window displays.
  5. From the Account type: dropdown list, choose LDAP.
  6. In the Server address: field, type directory.upenn.edu
  7. Click the Server Options arrow.
  8. Select the Use SSL checkbox. Observe as the Port: field value changes automatically to 636
  9. Click the Continue button. The Account Settings window displays.
  10. In the Description: field, type Penn Online Directory
  11. In the Search Base: field, type the following, ensuring the "P" in People is capitalized:
    ou=People, dc=upenn, dc=edu
  12. Ensure that Subtree is selected in the Scope: dropdown list.
  13. From the Authentication: dropdown list, select Simple.
  14. In the User name: field, where username is your actual PennKey username, type the following ensuring that both "Ps" in "PennPeople" are capitalized:
    uid=username, ou=PennPeople, dc=upenn, dc=edu
  15. In the Password: field, enter your PennKey password.
  16. Click the Create button. The Accounts window displays.
  17. Quit the Address Book application.
  18. Launch Apple Mail.
  19. From the Mail menu, select Preferences... .
  20. Click the Composing icon.
  21. Ensure the Automatically complete addresses checkbox is selected, then click the Configure LDAP... button.
  22. Mail may ask if it can use the directory.upenn.edu item in your keychain. If so, click the Always Allow button.
  23. Ensure the Active checkbox is selected for the Penn Online Directory.
  24. Click the Done button.
  25. Quit Mail.

Outlook 2007

  1. Launch Outlook.
  2. Select Tools-->Account Settings
  3. Select the Address Book tab and click the New button.
  4. Under "Server Information" enter the Server Name as
    directory.upenn.edu
  5. Ensure that the "Requires Logon" checkbox is selected.
  6. Under "Logon Information" enter the Username as
    uid=your PennKey username, ou=PennPeople, dc=upenn, dc=edu
    and your PennKey password in the Password field.
  7. Ensure that the SPA checkbox is not selected.
  8. Click the More Settings button.
  9. Select the Connection tab.
  10. Under "Display Name" enter
    Penn Online Directory
  11. Under "Connection Details" enter
    Port: 636
    and ensure that the Use SSL checkbox is selected.
  12. Select the "Search" tab.
  13. Accept default values for "Server Settings".
  14. Under "Search Base" select the Custom... button and enter:
    ou=PennPeople, dc=upenn, dc=edu
    making sure that the "P" in People is capitalized.
  15. Ensure that the Enable Browsing checkbox is unchecked.
  16. Click the OK button.
  17. Click the Next button.
  18. Click the Finish button.

Outlook 2011

  1. Launch Outlook.
  2. From the Tools menu, choose Accounts... The Accounts dialog appears.
  3. Click the + (plus) at the bottom left of the dialog and choose Directory Service...
  4. In the LDAP server: field, enter directory.upenn.edu
  5. Click the Add Account button.
  6. In the Account description: field, enter Penn Online Directory
  7. Set the Method: drop-down box to User Name and Password.
  8. In the User name: field, enter uid=username, ou=PennPeople, dc=upenn, dc=edu, where username is your actual PennKey name.
  9. In the Password: field, enter your PennKey password.
  10. Click the Advanced... button.
  11. In the Search base: field, enter ou=PennPeople, dc=upenn, dc=edu
  12. Click the OK button.
  13. Close the Accounts dialog.
