Meeting Maker / Windows Mobile 5 and 6 Synchronization Work-Around Configuration Instructions

Windows Mobile 6 (WM6) is Microsoft's latest release of Windows Mobile for portable devices. While WM5 and 6 are compatible with most of the central servers on campus, desktop synchronization requires an upgrade to ActiveSync 4.x on XP, or Windows Mobile Device Center (WMDC) on Vista machines. Intellisync for Meeting Maker (IS4MM) does not support ActiveSync 4.x or WMDC at this time. The suggested workaround for WM5 or 6 devices is to use Intellisync to synchronize your Meeting Maker Calendar with Outlook, then use ActiveSync or WMDC to sync Outlook with your WM5 or 6 device. Below are step-by-step instructions for accomplishing this task:

Note: These instructions are for synchronizing your WM5 or WM6 based device with the Meeting Maker server hosted by ISC. If you are not using this server, please contact your LSP or Meeting Maker administrator for your server's specific configuration instructions. This solution is only for WM5 or WM6 devices synchronizing with a Windows XP or Windows Vista based computer.

To get your WM5 or WM 6 device to synchronize with our Meeting Maker server, you will need to install Intellisync for Meeting Maker. You can contact Magida Phillips to learn how to obtain a copy.

Provider Note: The following directions were generated with the following hardware:

  • PalmOne Treo 700w running Windows Mobile 5
  • Windows XP, SP2
  • Intellisync for Meeting Maker 8.5

Provider Note: There is not currently an automated way to synchronize your data between Outlook and Meeting Maker using this method using the default configuration. The synchronization instructions need to be followed each time a user needs to bring their calendars back inline.

During the Intellisync installation process you'll be asked to configure the client. Enter the information as listed below:

  • Open the Intellisync for Meeting Maker application from Start-->Program Files-->Meeting Maker-->Intellisync for Meeting Maker
  • Click on "Specify Synchronization Settings"



  • Enter in the user specific information under User ID and Password, and click on the "Configure Applications" button



  • The following example only shows the configuration for synchronizing the calendar with a WM5 device. If you plan on synchronizing with Meeting Maker's Contacts and/or ToDo's, you'll need to configure those applications appropriately.
  • Click on the box next to Appointments and click on Choose.
  • Select MS Outlook from the Choose Translator window, make sure that the Synchronize radio button is selected and click OK.



  • You should now see the following window, configured as below:


  • Click on Configure-->Advanced settings. You should look at the tabs and settings here to make sure that your synchronization options are set the way you want them to be. When you are finished here, click on OK until you are back at the main screen.
  • When you are ready to synchronize, click on the Synchronize your Data button and follow the prompts as they appear.

NOTE: Please be aware that the first synchronization will take quite some time (up to 20 min in some cases) before indicating any progress. This is normal behavior.

  • Once the synchronization process is completed, connect your WM5 device to the computer. ActiveSync should automatically launch and synchronize your device with the newly updated calendar information in Outlook.

The install process will place the Intellisync for Meeting Maker client in the Meeting Maker folder. As part of the installation process an Online Manual is installed.
