Prudence
Introduction
Senior Business Officers and other staff who prepare original Fiscal Year budgets
have accounts on the file server Prudence and use budgeting software called
Pillar. Each school and center has at least one user who has access to Prudence
and Pillar.
The Budget File Server: Prudence
Prudence is the name of the file server that is used to distribute and collect
budget-related files at Penn. For detailed instructions on how to connect to

The Budget Software: Pillar
Pillar is the name of the software that Schools and Centers use to produce their budget plans. If you need to install Pillar on a new desktop machine, the installers are available in the Install folder on Prudence. The latest version, 5.6.1, provides the same basic functionality as version 5.3, but includes a few enhancements such as an improved report management structure, an improved print preview, and an improved calculation logic and structure. (Note: The School of Medicine and Wharton are also upgrading all of their users at this time, but their LSPs will receive instructions separately.)
Version 5.6.1 can upgrade files that were created using versions 5.0, 5.1, 5.2, 5.3, or 5.5. If you have users that are using a release earlier than version 5.0, then they must upgrade their files to either version 5.0, 5.1, 5.2, 5.3, or 5.5 before upgrading to version 5.6.1. Folder or Directory Structure of Prudence
Prudence is organized as follows:

- BOS (files for Budget Office Staff)
- PSA (files for Pillar System Administration)
User Accounts
Each school and center has at least one administrative staff member with an account
on this server. The Wharton School and the School of Medicine also operate their
own servers for their own Pillar budgeting users.
Most users have access only to the Plan part of Prudence. (The other parts
of Prudence, BOS and PSA, are used primarily by Budget Office staff and Pillar
system administrators, respectively). Business Office and Dean's Office staff
have read only access to the Install and Training folders, read only access
to their school or center's Distrib folders, full read/write to their school
or center's Working folder, and write only access to the Submit folders.
The Shared Files are used to share other related data across central offices.
The read only access to Distrib means users cannot open .pln files directly
from the Distrib folder (because the Pillar software requires write access)
and have to make a copy first, either in the Working folder on Prudence, or
on some other secure and backed up location. The write only access to
Submit means that users can't replace their own submission (or anyone else's).
If they submit a file and then want to revoke the submission, they must contact
the Budget Office for assistance so that other related work can be coordinated.
Guest logins and anonymous ftp are not supported. A shared account is available
for use by any LSP (use anylsp and I2helpBEN) and provides access
to the Install and Training Folders. Schools and Centers may also request that
individual userids be created for the LSPs assigned to support their budget
users. We routinely give LSPs access to only the Install and Training folders.
If the LSP also needs to be involved in the preparation or transmission of the
budget, they can also be granted the same access to Distrib, Submit and Working
folders as the business office staff.
Passwords
Prudence passwords were initially provided to Prudence users. LSPs should confirm
that users have changed their password to a secure, complex password. User passwords
do not expire, and once users set a secure, complex password, they don't need
to change it again unless they think it is no longer secure, or they want to change
it for some other reason. Passwords must meet the following requirements:
- must be at least 7 characters in length
- must not contain the Prudence account id nor their full name
- must contain 3 of the following 4 character groups:
- Uppercase (A thru Z)
- Lowercase (a thru z)
- Numeric (0 thru 9)
- Non-Alphabetic (such as !, $, #, %)
Note to ftp users: We have not found any way to change your password using
ftp. You must map a drive to Prudence as a file server first, set the secure
and complex password, and then use ftp.
Converting Older .pln and .ctl files
In general, each version of Pillar software has been able to open and upgrade
only the version immediately before it. If you still have a Pillar version 2
file from 1995, you would have to install version 3 to open them and save them
as version 3 (circa 1997). Then you'd have to install version 4 to open them
and save them as version 4 (from 1999). Then you'd have to install version 5
(from 2003) and open them and save them as the current version.
Firewall and Routing Issues
Prudence is located in the ISC machine room behind a firewall with the other
BEN (Business Enterprise Network, formerly known as FinMIS) related machines.
At the present time, it can only be reached from machines with upenn.edu addresses.
For access from a home machine running Windows XP Professional, use Remote Desktop
to connect to the individual's office machine and through that to Prudence.
Connecting to Prudence
Win2000 / WinXP Drive Mapping:
- Right-Click "My Computer"
- Select "Map Network Drive..."
- Select an available "Drive" letter (P is suggested)
- In the Folder: field enter: \\cronus.mr.isc-seo.upenn.edu\prudence$
- Check the "Reconnect at logon" box
- Select "Finish"
- In the connection dialog box, enter the following:
- Connect As: your_prudence_id@mr.isc-seo.upenn.edu
- Enter Password: your_prudence_password
- Click "OK"
MacOS X Drive Mapping:
NOTE: You must be running MacOS X v10.2.8 (or later).
- Select "Go" (from the main menu bar on top)
- Select "Connect to Server..." (from the GO menu options)
- In the "Address:" field, enter smb://prudence.admin.upenn.edu/prudence$
- Select "Connect"
- In the "SMB/CIFS Filesystem Authentication" dialog box, enter the following:
- Workgroup/Domain: UPENN-SEO
- Username: your_prudence_id
- Password: your_prudence_password
- Add to Keychain: leave unchecked
- Select "OK" (the Prudence icon should now appear on your desktop)
Win2000 / WinXP Password Change:
NOTE: A drive mapping must be set in order to change the password.
NOTE: Passwords must meet the password requirements
listed above.
- Press: Control-Alt-Delete
- Click: Change Password
- Enter the Prudence username as follows: your_prudence_id@mr.isc-seo.upenn.edu
- Enter your old password
- Enter your new password
- Confirm the new password (you will receive a prompt indicating that the
password has been changed)
Windows FTP:
NOTE: FileZilla v2.0, or later, must be used. FileZilla is available for
download from http://www.upenn.edu/computing/product/.
- Invoke FileZilla and configure a pre-set session:
- Select "Site Manager" from the "File" menu
- Click on "New Site"
- Rename the 'New FTP site' to "Prudence"
- In the Site Details, enter the following:
- Host: prudence.admin.upenn.edu
- Port: 22
- Servertype: SFTP using SSH2
- Logontype: Normal
- Leave "Bypass proxy setting" unchecked
- User: your_prudence_id
- Leave "Default remote directory:" blank
- Leave "Default local directory:" blank
- Leave "Default site" unchecked
- Click "Save and Exit"
- Select "Site Manager" from the "File" menu
- Select the newly created "Prudence" session and click "Connect"
- When prompted, enter your Prudence password and click "OK"
- Click "Yes" in response to the "Store key in cache?" question (which you
will be prompted for the very first time you attempt to FTP to prudence.admin.upenn.edu).
- You may have to expand the FileZilla screen to see the local (your computer)
and remote (prudence.admin.upenn.edu) folders.
