Navigating Voice Mail Shortcuts

Access the PennNet Phone Voice Mail

PennNet Phone Voice Mail: 215-746-8000.

Voice Mail System Access Instruction
From your On-Campus Extension
  • Press the Messages button
  • Enter your password.
From Another Person's PennNet Phone
  • Press the Messages button
  • Press the pound (#) key
  • Enter your 5-digit mailbox number (usually the last 5-digits of your on-campus phone extension).
  • Enter your password.
From a Traditional Phone on Campus
  • Dial 6-8000
  • Press the pound (#)
  • Enter your 5-digit mailbox number
  • Enter your password.
From Off Campus or Cell Phone
  • Dial 215-746-8000
  • Enter your 5-digit mailbox number
  • Enter your password.
From Email If you have selected either Email Only or Email and Telephone as your voice mail delivery method:
  • Log into email
  • Look for message(s) from the ISC Voice Mail Server
  • Review a copy of each message sent. If you have opted to listen to messages via your computer, the message will be attached as a sound file (.wav extension).

Voice Mail Review Shortcuts

Option Short Cut
Determine Date and Time of Message Press 3-3 after listening to message.
Fast Forward Through Message Press # to advance message in 3 second intervals.
Reply to Message Sender Press 3-1 after listening to message.
Return to Previous Message Press 4 after listening to message.
Rewind Message Press * to rewind message in 3 second intervals.
Skip a Message While Reviewing Press 6 to skip to the next message.
Stop Message Press 0 to pause/stop, press O again to resume.
Undelete a Previously Deleted Message Press 4 to return to the previous deleted message, then press 7 to undelete the message. You can delete and undelete messages as long as you do not hang up the phone.
Power Keys Keys that are always available
  • Press * to repeat available menu options or to back up one menu
  • Press 0 for the Penn Operator
  • Press # to interrupt a prompt, cancel a command, or exit mailbox

Feature Shortcuts
Here are the keystroke shortcuts you need to quickly navigate through your voice messaging features.

Feature Short Cut
Exit Mailbox To exit your voice mail box, leaving it closed and secure, press the star (*) key repeatedly until you hear the "Goodbye" prompt. Then hang up.
Forward Copy of Message
  1. After reviewing the message, press 8
  2. Enter the mailbox number of the party to whom you wish to send the message
  3. Press 1 to record a comment, then forward. Or,
  4. Press 2 to forward without comment.
Leave Message without Directly Calling Party You can leave a message for another PennNet Phone subscriber without ringing their phone.
Important: You cannot edit (review or re-record) a message before sending it to another person's mailbox. Before using this feature, review the instructions on how to cancel leaving a message to another mailbox to ensure that you do not unknowingly leave a message.
  1. Enter your mailbox.
  2. From the Main Menu, press 3-5
  3. Enter the recipient's mailbox number
  4. Wait to hear the entire greeting. Do not interrupt or skip the greeting. (Doing so will forfeit your option to cancel the message)
  5. Record your message
  6. Press pound (# ) to send message.
Cancel Leaving a Message to Another Mailbox To cancel leaving a message to another mailbox, you must follow all the below steps: hanging up the phone does not cancel the message. The voice mail system does not provide voice prompts to guide you through the steps of canceling a message and you cannot review or re-record a message before sending it to another person's mailbox.
  1. During or immediately after recording your message, press 0.
    Important: DO NOT: simply hang up the phone or remain inactive on the line (allowing several seconds to pass) or press # as a means to exit. Doing any of these actions will send the message.
  2. After pressing 0, you will hear the prompt "Press 1 to accept this recording, otherwise please continue to hold." DO NOT press 1, continue to hold and several seconds later you will hear the prompt "Message deleted, I'm sorry I didn't understand your response. You can now hang up or press # to log back into the system.
Greetings - Record/Change Record either an unavailable greeting or a name greeting. Do not do both. If you do not record a personal greeting, callers will hear the generic system greeting: “Please leave your message after the tone. When done, hang up or press the pound key.”
  1. Enter your mailbox
  2. From the Main Menu, press 0. Follow the prompts to record your new greeting.
    • 1 for Unavailable (what callers will hear when you do not answer the phone)
    • 2 for Busy (what callers will hear when you're on the phone)
    • 3 for Name (callers will hear the generic system greeting but your name will be in your voice)
  3. When finished, press * to return to the Main Menu or *# to exit.
Greetings - Delete The system will provide specific prompts to delete a temporary greeting. You can delete the other greetings; however, specific system prompts aren't provided.
  1. Enter your mailbox
  2. From the Main Menu, press 0 for Mailbox options
  3. When prompted to record a greeting, press the number corresponding to the greeting that you want to delete. If you pressed 4 (temporary greeting), the system will prompt you with instructions.
  4. Listen for the prompt: "After the tone, say your unavailable message then press the pound key." Do nothing, hear the tone, and wait for the next prompt.
  5. After you hear the prompt: "Thank you, press 1 to accept, 2 to record, 3 to re-record." press 0. Important: 0 will net be announced as an option.
  6. Listen for the prompt: "Press 1 to accept this recording, otherwise please continue to hold." Do nothing, stay on the line and wait to hear the confirmation that the message was deleted. (This may take a few seconds. The system will use the term message and not greeting.)
  7. Press # to return to the Main Menu or *# to exit.
Passwords - Changing Your password must be 6 to 15 digits. Choose a password that is easy to remember but hard for others to guess. You can also change your password in PPS.
  1. Enter your mailbox
  2. From the Main Menu, press 0-5 for password options. The system will ask you to enter a new password followed by the pound (#) key.
  3. Enter your new password, then press pound (#) key.
  4. Re-enter your password again and press # to confirm. The system will announce that your password has been changed.
Retrieve/Store Messages Access Voice Mail System as instructed above. The system automatically asks whether you want to listen to your new messages.
Five folders are available for organizing and storing messages. When a caller leaves you a message, the message is placed in your new folder. If you listen to a new message but you do not delete it, save it to a folder, hang up while it is playing or do nothing at the end of play, the message will be moved to your old folder.
  1. Enter your mailbox
  2. From the Main Menu, press 2 to change folders
  3. At the prompt, choose the folder where the message is located
    • Press 0 for new
    • Press 1 for old
    • Press 2 for work
    • Press 3 for family
    • Press 4 for friends
  4. Listen as the system plays the first message in the folder
  5. If this is not the message your want, press 6 to skip to the next message in the folder. Or, press 4 to return to the previous message.
Skip Voice Mail Greeting Press pound (#) key. The "leave message" tone will automatically play.
Temporary Greeting - Record Record a temporary greeting when your normal working routine will be interrupted for a period of time, such as a vacation, conference, etc. The temporary greeting overrides all other greetings. The system will not announce that your are using a temporary greeting when logging into to review messages.
  1. Enter your mailbox
  2. From the Main Menu, press 0-4 for Mailbox/Temporary Greetings When prompted record your greeting, then press # when finished Choose the status for the recording:
    • Press 1 to accept this recording
    • Press 2 to listen to it
    • Press 3 to re-record it
  3. When finished, press * to return to the Main Menu or *# to exit.
Temporary Greeting - Delete The system will not announce that you are using a temporary greeting when you dial into your voice mailbox. Delete the temporary greeting to reinstate your personal greeting.
  1. Access your mailbox
  2. From the Main Menu, press 0-4 for Mailbox/Temporary Message. The system will announce the temporary message options.
  3. Press 2 to erase your temporary message. The system will confirm that your temporary message has been removed.
  4. Press *# to exit.

  • Enter your 5-digit mailbox number.
  • Enter your password.

Voice Mail Review Shortcuts

Option Short Cut
Determine Date and Time of Message Press 5 while reviewing.
Fast Forward Through Message Press 3-3 to advance you to the end of the message.
Reply to Message Sender Press 8-8.
Return to Beginning of Message Press 1-1.
Skip a Message While Reviewing Press the pound (#) key.

Note: Deleted messages can not be retrieved. Only press 7 if you are certain you would like to delete a message.

Feature Shortcuts

Feature Short Cut
Exit Mailbox To exit your voice mail box, leaving it closed and secure, press the star (*) key repeatedly until you hear the "Goodbye" prompt. Then hang up.
Define a Group Distribution List You may create up to 15 personal distribution lists.
  • Draw up a list of names (up to 25) and mailbox numbers.
  • Enter your own mailbox.
  • Press 4-2-2-1 at the "Main Menu" prompt (4 for Personal options, 2 for Administrative options, 2 for Group lists, 1 for Create a group).
  • Assign a number to your group list (any number between 11 and 25).
  • Assign a name to your group list (for example, "Special Project List")
  • Finally, enter each mailbox number on the list.
Forward Calls Directly to Voice Mail See our Call Forwarding line feature.
Forward Copy of Message
  • After reviewing the message, press 6.
  • Record a brief introduction and press #.
  • Enter the mailbox number of the party to whom you wish to send the message.
Leave Message without Directly Calling Party
  • Enter your mailbox.
  • From "Main Menu" prompt, press 2.
  • Record your message and press #.
  • Enter the recipient's mailbox number.
  • Press # to send message.
Leave Message without Knowing Person's Number
  • Dial 8-9999 to reach the University's Dial-by-Name service.
  • Use the touch tone keys to spell the desired recipient's name, starting with their last name.
Manage Voice Mail Prompts From "Main Menu" within your mailbox, press 4-2-3.
  • 4 for Personal Options
  • 2 for Administrative Options
  • 3 for Prompt Levels
  • Choose from Standard (abbreviated prompts), Extended, or Rapid.
Record/Change Greeting Press 4-3-1. Follow the prompts to record your new greeting.
  • 4 for Personal Options
  • 3 for Greetings
  • 1 for Personal Greeting
Retrieve Messages Access Voice Mail System as instructed above. The system automatically asks whether you want to listen to your new messages.
Set Message Delivery Options When sending a message from within your mailbox:
  • Press pound (#) and enter the destination number.
  • Press 0 for delivery options.
  • Message Status - Designate message as Normal, Urgent (move to front of message queue), or Private (can't forward message).
  • Message Confirmation - Decide whether you want to receive confirmation that a message has been received.
  • Future Delivery - If you would like the message delivered at a later time/date, specify the delivery time.
Skip Voice Mail Greeting Press pound (#) key. The "leave message" tone will automatically play.
Transfer Call to Voice Mail With a caller on the line:
  • Press the Transfer key (sometimes called Flash or Link) or the Switchhook on a single line set.
  • Listen for second dial tone.
  • Dial VOICE (8-6423).
  • Press the star (*) key as prompted until you hear, "Please dial the number of the person you are calling."
  • Dial the mailbox extension.
  • Hang up.
