Web Communications Group
Initial meeting: 05/11/05
Meeting minutes
I. The meeting opened with a discussion about what the objectives and
mission of the group should be as a Penn-wide committee. Attendees felt the
group could be useful for the following purposes:
- To learn more about what's going on with other schools
- To hear how
strategies/products/applications have worked at other schools

To have a forum for presenting and receiving feedback on web site redesigns
in-progress
- To obtain more information regarding web traffic statistics throughout
the Penn web
- To gain an understanding of how users are using web sites, perhaps through
a focus group or usability testing
- To learning more about centralized and decentralized content management
systems
- To look into the feasibility of a centralized data warehouse
II. Group members discussed topics/issues that they would like to see
addressed by the committee. Suggested topics are listed below:
- Content management systems
- There was interest in learning more about
centralized and decentralized content management systems. There
was also a request for the University
to supply individual schools with content.

The ability to pull data from a central data warehouse.
- Digital asset
management system
- University Communications will consider the possibility
of expanding its current system or investing in a larger platform.
- There
was an interest in learning more about digital rights management.
- RSS
syndication
- Several group members showed an interest in this topic, including
learning how faculty publications could be made available to the
public.
- Security issues relating to such topics as web forms
- There is another
committee that addresses web security, so the WCG will focus
on less technical issues.
- Privacy policy
- Group members indicated a desire to learn more about how Penn's
privacy policy relates to individual departments and web sites.
- A group member suggested that individual departments should
have separate privacy policies listed on their site.
- Search optimization (including
a discussion on metadata)
- Wharton's Karuna Krishna may speak to group
about this topic.
- Brand mark management
- This topic may fall under the responsibility
of the Penn Communications Committee.
- Email issues
- There is another committee at Penn that studies university-wide
email issues. The WCG could discuss non-technical issues such as
how to display
email address on web pages but should not get into technical issues
that are already being covered by another committee at Penn.
III. The group decided that it would be best to break out into separate
working groups on the following topics:
- Content management system
- Web analytics (tracking)
- RSS syndication
- Digital asset management systems
IV. An umbrella category called Best Practices was created to encompass
items as listed below. These can be topics for further discussion at
the regular WCG meetings. In certain instances speakers may be invited
to address the group with regard to a specific subject matter.
- Privacy policy as pertains to the web
- Search optimization
- Security issues relating to such topics as web forms
- Usability
V. Preview of new site for Penn Social Policy & Practice
- Lizza Robb showed the school's proposed new design to the group.
- School
of Social Work is formally changing their name to Penn School of
Social Policy and Practice as of July 1, 2005.
VI. Actions
- Email address and
listserv will be set up to facilitate easy flow of communication.
- Deni Kasrel will email group to see who wants to be in each working
group.
- URL for proposed new Social Policy and Practice web site will
be sent to group for comments.
- University Communications Web Team will create an area for
the Penn Web Communications Group in the Web Services
section of
our Penn News site.
- Group will meet again in one month and then decide future meeting
schedule.
