Changing a Student's Name

The system stores up to four names for each student: Initial Name, most recent Previous Name, Current Name, and Long Name, for names that are longer than 35 characters.

Only a student's division office or the Office of the University Registrar may change a student's name on SRS. The student must present a copy of the legal document, proving the need for the name change to the entering office. The student's name can be changed on one of two screens, Screen 103 and Screen 199.

The initial and previous name fields are populated automatically by the system whenever you change a student name.

If you have entered a student's name but have not yet admitted him/her to an academic program on Screen 110, you can change the name WITHOUT storing the previous name. For example, if you made an error in typing a name, you would not want to save the erroneous entry. Entering 'Y' in the Skip Roll field on Screen 103 will stop SRS from keeping the initial or previous name on record when the student's name is changed.

To change the name of a student who has matriculated into an academic program:

Establish the context line by entering the SID on Screen 103.

Press Enter.

Result: System displays requested student.

Tab to the NAME field, and overtype the student's name.

Press Enter.

Result: Entry is accepted and the system displays the new name.

NOTE: The overtyped name appears in the INITIAL NAME or

PREVIOUS NAME field.

To change the name of a student who has NOT matriculated into an academic program:

Establish the context line by entering the SID on Screen 103.

-

Press Enter.

Result: System displays requested student.

Tab to the NAME field and overtype the student's name.

-

Tab to SKIP NAME ROLL as in the case of an error and type 'Y'.

Press Enter.

Result: Entry is accepted. The new name appears in the context.

Initial name remains blank.
