Graduating a Student
Graduation

Students may be graduated in one of two ways:

- through the normal batch process, in which degrees are automatically posted for anyone marked as "cleared for graduation", or

- on a student-by-student basis, using Screen 117, Graduation Checkout.

When you graduate a student on-line, SRS sets the degree date to the graduation date defined on Screen 133, Term Calendar.

To graduate a student on-line, the student must have one of the following EXIT ACTIONS on Screen 110, Academic Program Maintenance:

- EG (expected graduation)

- LV (leave of absence)

- AL (administrative leave of absence)

When you graduate a student on-line, SRS replaces the student's exit term with the graduation term. SRS sets the graduation/exit term to the last term in which the student was active, that is, the last term with course work, and uses the degree date for that term on the student's transcript.

This last active term is not always the same as the original term of expected graduation, nor is it always the same as the term in which you are posting the graduation.

If the last active term is not the student's actual term of graduation, you must change the degree date. See "Changing Degree Date" for more information.

A student enters the BA program in the College of Arts and Sciences with an expected graduation term of 94A. But the student completes the degree requirements a term early, and graduates in 93C. The last active term (the last term with course work) is 93C. When you post the student's graduation on Screen 117, SRS automatically changes the exit term from 94A to 93C.

To graduate a student on-line:

Establish the context by entering the SID on Screen 117.

Press Enter.

Tab to the blank space at the left of the academic program you want to modify.

Press Enter.

If not already entered, tab to the DEG CKOUT STATUS and type 5 (cleared for graduation).

Tab to the GRADUATION CODE field and type a "G" (degree program complete.

Press Enter.

Result: The system posts the degree on Screen 123, Degrees Awarded.

NOTE: To graduate, the student must have an EXIT ACTION of EG

(expected graduation), LV (leave of absence), or AL (administrative leave of absence).
