Publications Update

Besides the central Penn Web Search, there are separate AltaVista Intranet-based search indexes of the major University publications: the Almanac, the Gazette, the Pennsylvania Current, and the University Archives and Records. These indexes can be searched individually or as a group.

Since these publications have archival material with information that may confuse or mislead users, the Publications Search gives the user the option of searching these publications for

To determine the currency of a page, the AltaVista search index looks for certain specified strings in the <TITLE> tag.

Publications maintenance application

We have provided a secure application that will automatically update your documents with the coding to include the appropriate string. Access to this secure application is determined by the same method which allows you to FTP documents to your site. Anyone who has write access to your web site can also run this application.

When using this application, we recommend the following:

  1. Each issue of your publication must reside in a separate subdirectory of your main web site.
  2. You must supply a start and end date for the currency period for the specified subdirectory. We ask that you do not overlap the currency period of the issues but instead try to have only one issue current at any given time.
  3. The application will automatically prepend whatever start date you specify to the front of the contents of your <TITLE> tag if you choose. This will further indicate to the user the currency of the document.
  4. You should run the application only once per issue. If you run the application a second time for the same issue, you will add extra meta tags to your document. The application backs up your documents before editing them. If you need to restore your documents, please contact webmaster@isc.upenn.edu for help.

Details of document editing

If you would prefer to edit your documents yourself rather than using the application, following are the edits made to the documents by the application:
  1. The application takes the start date and end date for the currency of the issue, converts them into a standard date format of YYYYMMDD and adds the following lines to each document:

    archiving_xssi.html is a XSSI script that will add the appropriate string to the title tag when the page is served up, comparing the start date and end date to the current date when the page is viewed by the AltaVista search index. In this way, the additional string in the <title> will change as the currency of the document changes without requiring further maintenance by the provider.

  2. The application then adds the startdate as it is input to the front of the <TITLE> tag so that

    Depending on the current date, the title will then display to the AltaVista search index as either of the following:

If you have a document that should always be "current", do not add the above lines to your document. Instead edit your <TITLE> tag to include the following:

A document with a <TITLE> tag like:
<title>The Pennsylvania Gazette: Alumni Submission </title>

is edited to become:

Editing your documents like this will show the special current character only to the AltaVista search index and will indicate to the AltaVista search index that this document is always current.
