The Graduation Process

Once students have completed the requirements for their degree, authorized users may update their degree checkout status, post graduation honors and award degrees on SRS. Completing the on-line graduation process automatically posts the appropriate degree to students' transcripts and academic records.

The process for graduating students combines automated selection and update with manual review. It requires close interaction between the Registrar's Office and the schools and divisions. That process is outlined below.

The graduation process:
- After the drop period in each term, the Registrar's Office runs the Preliminary Graduation List. This selects students who are expected to graduate in that term. The report is sorted by division, degree, and student.
- The Registrar's Office runs a batch process that creates the Honors Graduate Work List. It lists the students who are expected to receive Latin graduation honors. The report is sorted by division, degree, major, and student.
- The reports are distributed to the schools and divisions.
- Schools and divisions review reports and clear students for graduation in one of two ways:

- Screen 117, Graduation Checkout, by updating the
degree checkout status.
- returning the marked-up list to the Registrar's Office
- Schools and divisions use the "Long Name" field on Screen 007 to enter student names exactly as they are to appear on the diploma. See "Biographic/Demographic Information" for more information.
- Schools and divisions may use Screen 123, Degrees Received, to post graduation honors for students prior to commencement. These may be changed after final review.
- Just prior to grading, the Registrar's Office runs the Preliminary Graduation List a second time, listing students who are cleared for graduation.
- Report is distributed to school and divisions, who may make changes in one of two ways:

- Screen 117, Graduation Checkout, by updating the
degree checkout status.
- returning the marked-up list to the Registrar's Office
- The Registrar's Office runs the Final Graduation List, which posts degrees for anyone marked as "cleared for graduation."

This procedure also automatically posts rank in class,
final GPA, and Latin graduation honors.
- Alternate degrees and graduation honors for other students are posted on a student-by-student basis using Screen 117, Graduation Checkout, and Screen 123, Degrees Received.
